Washtime: a signed record of every client concern, straight from a phone

Good service includes handling the moments when something needs clarifying, fairly and quickly. Washtime, a car wash in Luxembourg, now has a simple app that records any client concern on the spot, with both sides signing, and takes care of everything that follows.

The need

Whenever a client raises a concern about their vehicle, the team needs a clear record that both sides can rely on, written while the client is still there (in French, a “constat”). That means client and vehicle details, photos, and a signature from the client and from the employee. The office should hear about it right away, and the client should leave with a copy. It is a matter of transparency and fairness for everyone involved.

What we built

A simple app that works on any phone or tablet, with nothing to install. An employee fills in the details, adds photos from the camera, and both parties sign on the screen. That is the whole job: everything after it happens on its own.

What it saves the team

  • No double work. The record is made once, on the spot, instead of being noted down first and typed up or sent on later.
  • No chasing by email. The office is notified automatically, and the client receives their signed copy with the photos attached.
  • No assembling documents. Any record exports as a PDF in one click when it needs to go into a file.
  • No searching. Every record, its photos and its signatures sit in one place, with a status (to do, in process, done, archived) that shows what still needs handling.
  • No manual clean-up. Photos, signatures and contact details are erased automatically 30 days after a case is done, so nobody has to remember to delete them.

Made to be used on a phone

Most of the work after the first version came from watching the app meet real phones and real inboxes. Photos are sized so the emails always go through, signatures show up correctly in the client’s copy, and the forms fit an iPhone screen. These are the details that decide whether a team actually uses a tool every day.

How we worked

We started in late July 2026 and had a usable app within days. From then on we shipped small improvements regularly, each one based on what the team ran into. Washtime now has a tool that fits the way they work, and it belongs to them. For how we approach projects like this, see our application development work.

The result

Every case ends up in one place: signed, photographed, timestamped and in the right inboxes before the client has left, with personal data that does not outlive the case. Less admin for the team, a faster response from the office, and a clear, fair record for everyone involved.

If your team works around a paper form, a shared spreadsheet or a chain of emails every day, this is the kind of problem we like. See also our CELB case study.
